      Effective November, 2009 Action Imaging Group will carry the Full Line of Samsung Business Printers and Multifunctional Devices.  Samsung joins Ricoh and Kyocera as the third manufacturer to authorize Action Imaging Group in Tucson, AZ.  Action Imaging Group will be the largest Samsung distributor in Tucson.

Calculating a True Cost per Print on HP Printers

Knowing your true cost per page is the key to understanding your actual long term cost on a printer. Every office is different and certain documents use more or less toner than others. This is why the cost to operate the same model of printer will fluctuate from office to office.
Specialized software can make this task much easier for multiple printers but you don't need to spend the money to produce the information on one or two machines. Here's how to get your CPP using a simple supply page from your HP printer


Terminology:


OEM or Original Equipment Manufacturer - A cartridge made by HP which does not include remanufactured, refilled or recycled.


Volume - The number of individual prints you produce in a given timeframe or with a particular supply item.


Toner Yield - The total number of pages you'll produce on a supply cartridge using the OEM default "Fill or Coverage" (usually 5%)


Fill Rate or Coverage % = The average amount of black (toner) on each page. HP typically uses 5% for their product yields. With HP, they expect 5% of the white area to be filled with black toner on each page.  For sample page fills click here.


The Equations: **

1. You'll need the specs on your OEM Toner Cartridge. Here's an example using my HP 1320n home office printer. Cart # Q2613X Yields 4000 pages @ 5% yield. Price = $102
2. Print the supply page on your HP printer. Click here for an example page from an HP1320n supply page.
3. To find out your average fill rate:
        a. OEM Volume x OEM Fill x % of used Toner / pages printed with current supply = fill rate
        b. 4000 x 5% x 47% / 1452 = .0647382 or 6.47% page fill
4. Now here's the equation to find your CPP
        a. Cartridge Cost x % of used Toner / pages printed with current supply = CPP
        b. $102 x 47% / 1452 = .0330165 or .033 cents per page

**This calculation does not include the initial hardware purchase, Maintenance Kits or Labor.

Ricoh Releases MP171 Copier

Ricoh recently released the new MP171 Desktop Copier.  It's not the most exciting add to the product line but a new model is a new model and it's worth a mention.  The MP171 will replace the MP161 and boasts a whopping 1 page per minute speed increase.  Not much seems to have changed on the 171 and it still comes in 3 different configurations.  MP171 is copy only.  MP171SP is Copy, Scan and Print.  MP171SPF is (you guessed it) Copy, Scan Print and Fax.  So what's changed with the new model?  Let's look under the hood and find the most significant upgrades...

Lease Advantages / Disadvantages

Every now and then, I'm asked this question: "Why would I lease over a purchase on my copier"?  It's not my place to make this decision or even recommend one option over the other.  I can however, state the facts about a lease and let the buyer make the decision to purchase or lease their equipment.  

Advantages of a Copier Lease

  1. This is the big one!  No large up-front cost is associated with a lease. This allows you to save or re-invest your dollars in more productive areas.  A typical lease agreement will be 100 % financing with $0 down. 
  2. Payments will be spread over a period of time.  Usually 36, 48 or 60 Months.
  3. Payments will be consistent and predictable.
  4. You may be able to afford "higher end" equipment
  5. You are protected from obsolescence.   The technology will be refreshed every 36, 48 or 60 Months.
  6. Upgrading your equipment is easy and will not require large sums of money.
  7. Lease payments are tax deductible (see your tax adviser for more information).

Disadvantages of a Copier Lease

  1. Likely, there will be a higher overall cost of the equipment over a purchase.  The leasing company will charge you a lease rate to borrow their money.  The amount will be determined by the length of the lease.  You will pay substantially more on a 60 month lease than you will on a 36 month lease. 
  2. You don't own the equipment unless arrangements are made at the end of the lease. 
  3. You will be in a medium to long term contract that can be difficult to terminate.

  • Standard lease option, low monthly payments
  • At end of leasing term, customer can purchase the equipment at fair market value, extend the lease with the leasing company or return the equipment, pursuant to the lease
  1. $1-Out Lease
  • At end of financing term, customer pays $1 and owns the equipment, pursuant to the lease
  • Low monthly payments
  • Customer builds up equity during the term
  • Preserves existing credit facilities for more strategic use
  • When the customer tells you they want to own the equipment for the lowest possible end-of-term payment
  • If customer wants to preserve existing credit facilities for more strategic business use

Using your existing MFP for Electronic Fax Delivery (Inbound)

Inbound Fax Routing is the process of converting your hard copy fax output into electronic files.  This eliminates the need to print the faxes which will save you Toner costs and Paper costs

 

You already know that your copier can fax...Did you know that it has the ability to E-Fax or LAN fax?  Most copier manufacturers are including the ability to route incoming faxes electronically as well as send electronic faxes directly from your computer.  These are common features that are often glanced over and rarely used.  What are the capabilities?  How does it work? Can this help me save money, reduce paper consumption and become more environmentally friendly?  Yes, but the functionality is limited.

 

Benefits:

  • Reduced Toner/Paper Consumption
  • Cost Savings
  • Improved Productivity

Limitations:

  • Manual Fax processing will still be required
  • No Direct Fax Forwarding Available
  • Hardware based phone line limitations

 

                                             Utilizing your MFP for Inbound Fax Routing

 

Email Delivery

The most common setup for this process is to have your faxes sent to a single, dedicated email address.  The fax will never be printed but instead emailed as an attachment.  In this way, each fax will be emailed to a dedicated person who can view the faxes, delete the junk and forward the important items.  This is a common setup because it imitates your process in an electronic way.  Instead of delivering paper faxes, you'll have someone delivering an email attachment.

Using email is the most convenient way to setup Inbound Fax routing but it comes with a major limitation. When your dedicated "fax routing" person is out of the office it will be difficult to collect these faxes.  Your IT Administrator has the ability to get this email but it's simply not convenient when someone is out sick.  For this reason, the inbound fax feature is usually turned off after the first sick day!

Folder Delivery with Email Alerts

The second method is to push your faxes from the copier to a dedicated folder on a Server or P.C.  This way, you can grant anyone access to the fax folder.  You'll still want to give a single person the responsibility of managing these electronic faxes but you won't be shut out if that person leaves the office. 

Finally, you'll want the dedicated "fax person" to be alerted of any incoming fax.  Some (not all) copiers will give you a friendly email notice to let you know that a new fax is available for processing.  Ask your rep about the alert function because it is very important!  Without it, someone will need to constantly monitor your fax folder and this simply won't happen.

 

Specialized Fax Software

It may be time to consider specialized Fax Software if your organization receives large amounts of faxed documents, needs multiple phone lines or requires automated fax delivery. With these software packages you will receive much more functionality including automated fax delivery to the recipient.  In my opinion, the consumer should stay away from solutions that are created by the copier manufacturer.  Their goal is to sell you hardware and will use proprietary software to make it very hard for you to make any changes.  Find a third party company that focuses their attention on fax routing software and you won't be disappointed.  These companies have one goal and that's to sell, maintain and improve their fax routing software.

Ricoh Launches IPDS support on MP-C4000 and MP-C5000 Color Copiers

IPDS and AFP/IPDS data streams are common print stream formats for IBM mainframes and minicomputers such as the iSeries, zSeries, AS/400, and S/390.  Typically, an IBM house will use a Windows print server running specialized IPDS software to perform IPDS printing.  This can be costly as each print device requires a license from the software vendor.  The other option is to purchase dedicated IBM printers or use special hardware DIMMS to enable printing on common HP devices.
