What is Managed Print Services (MPS)?

MPS is a process that results in a service.  The end result will be a printer/copier fleet contracted for parts, labor and supplies (service) but the  process to get here is very important.  A typical client should expect a decrease in existing costs up to 30% as well as a 10/20% decrease in IT Helpdesk calls.  They will enjoy increased equipment uptime and employee productivity.  These results are generated by quantifying the existing costs, creating a program that will reduce them and finally implementing the plan.  My 5 step process will give you the end result of a true Managed Printer Program that will cost less than your existing expenditures. 

 

5 Steps to manage your document output

     1.      Qualifying Meeting

·         This initial meeting will better familiarize you with me, my company and MPS.  I want to better understand your organization and the driving reason/s behind our meeting about MPS.  Do you need to reduce operating expenses, reduce IT helpdesk calls, streamline vendors or all of the above? 

      2.      Analysis

·         Before a quote can be generated it’s critical to compile a complete inventory of output devices and volumes in the organization.  This information is used to calculate the cost of services.   Device information can be gathered several ways and the process depends on the amount of printers in the fleet.  I recommend a process to collect this information after the first qualifying meeting. 

·         Current equipment leases, service invoices and toner/ink costs are collected to better understand contract end dates and existing expenditures.

      3.      Proposal

·         Depending on the findings in step 1 several options may be presented.  Your options may include everything from full fleet replacement, to a simple service contract on all existing machines.   The proposal will reflect the best solution to accomplish the desired results discussed in the qualifying meeting

      4.      Implementation

·         Upon a written agreement, my team will leap into action. 

·         Any agreed upgrades will be ordered and installed.

·         All printers on contract will be tagged and given unique service id numbers.

·         Every machine will receive an initial inspection and cleaning.  Worn or required parts will be replaced at this time.

·         Toner and Ink supplies will be replenished as needed

        5.       Monitoring

·         Your account will be monitored and inefficiencies will be brought to your attention.  Together we will accomplish the best case scenario for your organization based on our initial qualifying meeting.  Quarterly reviews will be performed to keep the plan on track.
